alternative mouse button) and see what options are available.
It may not always be useful but then again you would be
surprised how many people do not take advantage of these
shortcut menus. So tell a colleague just to make sure they
know as well !

ED'S FAVORITE SHAREWARE PROGRAM
 
Over the last five years there is one tool that I always
seem to use very regularly and that is a text editor.  I write
this newsletter in an editor, replace strings from SQL statements
in an editor and use the editor as a buffer for doing fancy
things with visual basic code. And when it comes to massaging
large text files that have to be imported into a database,
a good editor is essential.
 
But the one thing that I do find frustrating is when I end up
on a computer where I either have to use Wordpad or Notepad.
I hate to say it but they are basic tools for all sorts of
reasons.  The editor I use is called UltraEdit and it can
be found at http://www.ultraedit.com/
 
It has 3 outstanding features that I really admire.  You can
shift columns of text and its keyboard learning sequence
(macros) is a gem. The most important feature is that it
just seems to make life easier.  At $30 its a great tool.
But it is highly likely that you have your own favorite text
editor so let me know and I will pass on your comments in
the next edition.  Sorry to offend anyone that uses the MS editors.

Now is  the time to backup all your files.  Don't put
it off any longer.  I still see sites that do nothing
or rely on partial backups.  Here is the usual guide
 
Buy a tape drive or a hard disk that will backup the lot.
Store tapes offsite.
Test your backup systems by recovering files.
 
And if you have a database, unload all the tables to text
on a regular basis and make sure they also end up on your

ACCESS REPORTS - NO DATA

Have you ever opened a a report only to be frustrated that
there is no data in it.  Well all you have to do is open the
report in design mode, view the code behind the report and
copy this code into it

Private Sub Report_NoData(Cancel As Integer)

  MsgBox "No information has been posted.  ", vbInformation, "Report is
cancelled"
  Cancel = True

End Sub

This small piece of code is a special report event that occurs
when no rows of data are displayed in the report.

SEARCH FOR TEXT ANYWHERE IN A DATABASE - VISUAL BASIC

Thanks to Internet search engines, users are now starting to
insist on tools that will interrogate the text in databases
and retrieve information that relates to that text. This
article outlines a simple tool that builds SQL statements that
search any table in a "back-end" database. The sample application
is geared for Access/Jet databases but could easily be modified
for other databases.   The software is provided as a Visual
Basic project but has some good example code on how to interrogate
the Table and Query objects in an Access database.  Read it here

TIME IS TICKING DOWN TO WINDOWS 2000

Recently I received a promotional stop watch from Microsoft
so that I could COUNTDOWN to the release of this fabulous new
operating system (with 40 millions lines of code).

The stop watch was pretty good except for one thing.  It beeped
on the hour.  Now I searched my promotional material for
instructions on how to turn this off.  Surprise, surprise,
lots of marketing material and no instructions.  Hopefully
either I will learn how to program my watch or Microsoft will
send out more instructions when they send out Win 2000 !
On reflection, maybe I am meant to buy the book because I do
not think I could view an online web page on my stop watch.

To Maximize a screen, double click on the top of the window frame.

in the top left corner of the window (or the cross in the right).

UNDER 18 ?

A job that I was working on lately required me to calculate whether
a person was under or over 18 and then apply a different charge to
that person on those results.   This led to a function which I would
call in visual basic as follows

dim yesNoFlag as Boolean

yesNoFlag = under18(#22-nov-1981#, now())

....

The function is as follows.

Public Function under18(dateBorn As Variant, dateCheck As Variant) As Variant

Dim testDate As Date

    under18 = testDate < dateBorn

End Function

You can also use this function in a query if you want to.

COMBO BOXES THAT LOOK TO THEMSELVES FOR INSPIRATION

Have you ever used Excel and enjoyed the way that information
inside cells can autotype using examples from cells above.
Well you can do the same thing inside Access by writing a query
that shows unique examples from the same field from entries in
previous rows of data.  To add a self lookup query for a combo
box, create a new table called MyData with one text field
called MyInfo.

Open the table and add a few text entries into the table.  Open
the table in design view and select the MyInfo field.

Now click on the Lookup Tab at the bottom of the screen and
change the text field into a combo box control.

Now change the row source to the following query

 "select distinct MyInfo from MyData order by MyInfo"

This query will select all the unique entries from the
MyInfo field and display them as a combo box in the field.
Now you will have an immediate lookup table for a field
without having the create a new lookup table.  This is a
great time saver when you are still designing the
structure of a database and wish to have some simple
integrity in your data.

UPDATES TO IE 5

You can download updates to IE5 including some security patches.  Also
included is a really neat utility to list links and images on the
current page.  If you right click in the page you are on, it will
show you all the images on the page and tell you how long they would
take to download.  Very useful to help speed up a web site. Apologies
to those of you how do not wish to use IE5.

--- A GREAT VB DEBUGGING TIP ---

When you are debugging code in Visual Basic (in any environment),
you will see a little yellow arrow on the left hand side showing
the line of code that has the current focus.  Well you can
actually grab that yellow arrow with your mouse and move it to
another line.  This tricky tip will allow you to go back to a
previous line and run it again.

EMAILING USING ACCESS AND WORD

Nirmala Sekhar is a software consultant working from
Singapore. This article on emailing a group proved so useful that "Ed" decided to use it for this
months mailout.

Step 1:
Set up a table in Access with at least two columns : Name of
the person and their email address.  e.g. Let us use a table
with two columns - Client_Name and email_address.


Step 2:
Select the table (or open it) and Click on the following
menu bar options:
  Tools ->  Office Links -> Merge it with Word


Word then takes over the processing using its mail-merge
feature.

Step 3:
Create a Word document with placeholders where the data from
Access will be placed. For example:


Dear <<Client_Name>>,
Let me introduce you to our new product ......
Sincerely,
Nirmala Sekhar


You can use the Insert Merge Field from the Mail-merge toolbar
to select and place the field (instead of typing it yourself).


Step 4:
Once the document is ready, click on the Merge button.
In the dialog box, select Electronic Mail as your option.


Step 5:
Now you must inform Word where to look for the email
addresses of your recipients. Select Setup from the
dialog box above and choose the field in your table
that contains the email addresses. Specify the subject line
for your emails.

Step 6:
You can, optionally, select the records by specifying
the record number range or query options.

When you click on the OK button, Word will create one email
message for each record in the table and place it in the Outbox.
Depending on your email client configuration, they may be
sent out automatically; so for test messages make sure your
table has dummy email addresses.


Notes:
This will work with most email clients. You can use the
same method for sending personalised faxes as well.
However, you must have a MAPI compatible electronic mail
(or fax) program.

SAVE YOUR REPORTS WITH ADOBE ACROBAT

This review discusses the mining / spatial analysis world that
I work in but equally will apply to any computing environment where
report distribution and management is important.

One of the problems we encounter in our mining work is the
collection of all entities of a report into one file format
that is readily distributable and compact.

In our situation we use the following software
· Gemcom (Mining software for 3d representation of data)
· Ermapper (Image analysis tools for Landsat and Geophysics)
· MapInfo (Low end mapping and GIS tool)
· Microsoft Word (for documents)
· Excel (for spread sheets and financial models)
· Access (For storage of data in relation databases)
· Corel Draw (for stylised diagrams and drawings)

A report is usually a compilation of data, diagrams, maps and
images from all of the above. When sending the report electronically
we have endeavoured to compile all of them into one format. We
have tried to use word, and generally we output from graphical
programs as wmf into Corel draw, do alterations and then import
into word. (We have found some of the wmf files from the mapping
products do not readily import into word).

This causes our drafting department a considerable amount of
extra work and the word files become quiet large.

Another problem is that if someone has Office 95 then to
convert Office 97 to 95 often means a 2 megabyte file becomes
20 megabytes.

Adobe has the Acrobat product that many of us have seen on
the Internet. Many sites (especially government ones) scan
forms and have them available for download. The acrobat reader
is free from the Adobe site -->  www.adobe.com

Apart from scanning, if you install Acrobat it provides a
"print to pdf " function for "Every" package that is able
to access a windows printer. This means we can now print
an exact copy of our map diagram direct form its native format
to a pdf file. Resolution, page size and orientation can also be set.

Then one can insert the map or figure pdf into the text part of
the report. The result is a compact file with all of the maps,
figures and appendixes in the right place in a file format
that no one can alter.

Online databases might be a good thing for keeping control of
your software but if you want to be found in the search
engines then they are not much use. You can get around this by
publishing a static web page for each make or model in that

of those pages is important as is the suitability to search
engines but that is a story for another day.  Remember that
just because you have a great looking web site ....
 
While I am at it, I went around the Access web loop looking
for sites with decent help and tips etc that I could add to
a customized AltaVista search facility that I was going to add
to VB123.  In summary, most of the sites that had good
programming material were not registered with AltaVista.
Why I don't know but getting your site indexed Is Important.

  MAKING A PROFESSIONAL LOOKING WEB SITE  (USING FRONTPAGE)
 
The first 4 lessons about making a web site that looks good
have now been published.  Here is a summary of those pages
 
Knowing your fonts is a very simple way to improve the
readability of page.  Most of the big sites use a font called
Verdana whenever they publish a page with a lot of text and
even on their busy main pages in smaller format.
 
Width is very important on pages filled with lots of text.
If you use a newspaper analogy, do you ever see a page
filled with text from one side of the page to the other. 
Using tables or FrontPage borders or even frame sets
can reduce the width and make pages more readable.
 
Don't forget to add your page header title and meta tags such as
keywords, description and title before you close down a page.
These are critical for search engine success. 
 
Ed knows that a web site design can be emotional as your
favourite blend of coffee so these pages only serve as suggestions.

  HARDWARE BUGS
 
One of the local Aussie visitors asked if there was a known
fix for large Access databases getting corrupted when
transferring large files.  Turns out that the corruptions were
due to Win98 adapter drivers not working with Realtek 8029
network adapters (occasional corrupt datapacket). Fix is to
update with the latest driver issued out this month.
